Start by checking the transaction in your banking app or statement. A deposit can reduce the money or credit available to you without being a completed payment.

How Long Do Hire Companies Say Deposit Returns Take?

The timing depends on the hire company, your payment method and your bank. These published examples describe different stages of the process, so a deposit release is not always the same as the money becoming available to spend.

Payment method matters: SIXT gives a different timeframe for VPay or Maestro deposits, where accepted: these are charged and usually refunded within 10 working days after the rental ends.

Working days normally exclude weekends and bank holidays. You can ask for confirmation of a release or refund before the published timeframe expires, particularly if the unavailable money is causing a problem.

What Should You Do If the Deposit Has Not Come Back?

If the expected processing time has passed, follow these steps. Have your rental agreement number, return date and deposit amount ready.

  3. Ask your bank to check what is outstanding

    Give the bank the hire company’s confirmation, transaction date and amount. For a hold, ask when it should clear and whether evidence from the company would help. For a refund, ask whether it can be traced using the reference provided.

  4. Follow up in writing if it remains unresolved

    Send the hire company a short timeline with the relevant documents and your bank’s response. Ask it to investigate the missing release or refund and give you a clear response date. Keep copies of emails and chat messages, and use its formal complaints process if the issue remains unresolved.

Why Has Only Part of Your Deposit Been Returned?

The hire company may have used part of your deposit to settle a final charge, such as missing fuel, extra mileage or an additional rental day. SIXT and Europcar both explain that deposits may be used towards additional charges.

Compare the amount returned with your itemised final invoice. For example, if you paid a £300 deposit and received £240 back, look for an explanation of the remaining £60. If your deposit was only a card hold, check whether the company has taken a separate payment while the unused authorisation is still clearing.

A deduction needs an explanation. If a charge is missing from the invoice or you disagree with it, ask the company to identify the relevant rental term and provide supporting evidence. For a fuel charge, that might include its recorded return fuel level; for a late return, the time it recorded the car as returned.

The company’s release and your bank clearing the authorisation can happen at different times. Ask your bank to check the outstanding hold using the amount, transaction date and the company’s release confirmation.

If the bank needs more information, ask exactly what is missing. A receipt showing that your rental has ended may not answer its questions about the card authorisation.

The bank and hire company keep sending me back to each other

Ask each side to explain its position in writing. The hire company should clarify whether it released a hold or issued a refund, with the amount and date. Ask the bank what it can see and what it needs to investigate further.

Send the bank’s specific request to the company. If neither side resolves the issue, make a formal complaint to the organisation whose action or explanation you are disputing, keeping both responses as evidence.

My card has been replaced, cancelled or expired

Tell your bank that a deposit release or refund relates to your old card. Ask whether it can be matched to your current account and whether you need to take any action.

Ask your bank which entries are pending authorisations and which are completed payments. A final rental charge alongside a pending hold does not, by itself, show that you have been charged twice.

Send the hire company the dates and amounts of the entries and ask it to explain each one. If two payments have actually completed for the same charge, raise this as a possible duplicate payment with the company and your bank.

What If the Company or Bank Does Not Resolve It?

The next step depends on what remains unresolved. Keep the rental agreement, final invoice and written responses so you can show what happened and what you have already tried.

Hire company complaint

The company has not returned or explained the money

Use the hire company’s formal complaints procedure. State the amount outstanding, why you dispute it and what you want the company to do. Ask for a written final response if it cannot resolve your complaint.

Check whether the company belongs to the British Vehicle Rental and Leasing Association (BVRLA) and whether your dispute qualifies for its dispute resolution service. Otherwise, ask the company which independent dispute resolution service, if any, can consider your complaint.

Bank complaint

Your bank has not resolved a hold or refund problem

Make a formal complaint to your bank or card provider about its handling of the transaction. Include the hire company’s release or refund confirmation and explain what the bank has failed to resolve.

If you remain unhappy with the bank’s final response, or it has not responded within the applicable complaint-handling period, you may be able to refer the complaint to the Financial Ombudsman Service. Check the referral deadline in the bank’s response. This route concerns the financial provider’s handling of the issue, rather than a direct complaint against the hire company.

Card payment dispute

A completed payment or promised refund is disputed

Ask your card provider whether it can raise a card dispute, such as a chargeback, if a payment was duplicated, a promised refund has not arrived or a deduction is disputed. Provide the invoice, correspondence and evidence supporting your case.

Eligibility and time limits depend on the circumstances, so contact the card provider promptly. A chargeback is not guaranteed, and a pending authorisation needs to be investigated as a hold rather than treated as a completed payment.

Does Car Hire Excess Insurance Help With a Missing Deposit?

A delayed deposit return is not, by itself, an excess insurance claim. Separate excess reimbursement insurance is designed to repay eligible charges covered by the policy. It does not release a card hold or make the hire company return your deposit sooner.

If the company has used your deposit towards a damage charge, a policy covering that rental may reimburse an eligible claim. You will need evidence of what you were charged and why, and the insurer’s limits, exclusions and claim requirements still apply.

Keep a record at collection and return
